Moodle Data Privacy Policy

Last Updated: January 26, 2022

Your information remains confidential. Marzano Resources (“we” “us”, or “our”) pledges to regard your privacy with the highest degree of respect.

We use the Moodle learning platform to facilitate the certification of schools and teachers participating in the High Reliability Schools and High Reliability Teacher programs. Moodle is an open-source project, for more information about Moodle please see: https://moodle.org. The Moodle instance we use is maintained and managed by us on a web server hosted by Amazon Web Services located in Oregon, USA.

This privacy policy applies to personal data provided to us, both by individuals themselves or by third parties, and supplements any other Marzano Resources’ privacy notices which may apply, including the privacy notice applicable when you visit our website (see: https://www.marzanoresources.com/customer-service/privacy-policy).

What information do we collect from you?

As part of its operation, Moodle logs user activity. We will gather the following data via these logs:

  • User ID
  • User name
  • User email
  • Moodle Course ID
  • Time stamp of activity
  • Action type
  • Moodle object the action was on, such as, assignment

Why do we collect it, and how do we use it?

From these logs Moodle generates reports that are accessible to the administrators in each Moodle course. Moodle reports enable course administrators to monitor activity in the course and to see what resources in the course are or are not being accessed. Moodle’s grader reports are used by certification reviewers and course teams to support your progress toward becoming a certified High Reliability School or High Reliability Teacher.

Feedback for graded assignments will be provided to enrolled users within each Moodle course’s grade book. This information is stored in the Moodle database along with the user activity logs and materials submitted to fulfill course requirements. Where required to audit activity logs, prepare reports for HRS/HRT administrative teams, provide support, or investigate an issue, the Moodle database may also be accessed by the Moodle site administrator.

We do not share your Moodle user data with external agencies or third parties.

How do we protect it?

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way, or altered or disclosed. Our computers are set up to automatically use the highest level of encryption that your web browser (such as Google Chrome, Mozilla Firefox, or Microsoft Edge) can legally handle. We maintain a valid digital encryption certificate on our Moodle web server that features a 2048-bit key and 256-bit signature algorithm for your protection.

Data retention

We will only retain your personal data for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

Information and data uploaded to our Moodle platform, including submissions made to fulfill course assignment requirements may be retained up to 10 years. Moodle data is backed up periodically to a separate folder in the Moodle web server and a snapshot of the entire server is taken periodically and hosted by Amazon Web Services. The backups and snapshots are held for the purpose of reinstatement of the data, such as, in the event of a server component failure.

You may inquire as to whether we are processing your personal information, request access to your personal information, and ask that we correct, amend or delete your personal information where it is inaccurate. You may contact us to request access to, receive (port), seek rectification, or request erasure of your personal information that we have.
